Spreadsheet vs. booking system: when is it worth switching?

Spreadsheets work up to a point. Learn when they become a problem and what changes when you move to a dedicated system.

Spreadsheets aren't wrong. For hosts with one property and a handful of bookings per month, they work just fine. The problem is that they don't warn you when you're about to confirm a conflict — and they don't scale as volume grows.

What spreadsheets do well

They're quick to set up, free, and everyone already knows how to use them. For logging guest names, check-in and check-out dates, and amounts received, they get the job done.

If you're just starting out and have fewer than ten bookings a month, you probably don't need anything else right now.

Where spreadsheets start to break down

The first sign is when you add a second property. Now the spreadsheet becomes two tabs, three tabs — and the chance of looking at the wrong one when confirming a reservation grows with it.

The second sign is when the volume of WhatsApp questions increases. Every "is it available for the holiday weekend?" means opening the spreadsheet, finding the right month, confirming the date is free — and then replying. If you take too long, the guest has already moved on to another host.

The third sign is when you can't tell how much came in this month without sitting down and adding it all up manually.

What changes with a dedicated system

The main difference isn't visual — it's structural. A system automatically blocks dates when a booking is confirmed. There's no way to accidentally double-book two guests for the same period.
