How the booking request flow works
Understand what happens when a guest requests a booking through the public link — from the request to confirmation.
When you share the public link with a guest, they can check availability and request a booking without having to contact you directly. Here's what happens from start to finish.
1. The guest submits a request
Through the public link, the guest selects a property, picks check-in and check-out dates, views the estimated price, and fills in their name and phone number. Once they confirm, the request is sent to you.
2. You receive a notification
As soon as the request arrives, you're notified in two ways:
- Mobile notification — appears directly on your screen, even with the app closed, if you've added HostX to your home screen
- WhatsApp message — the guest receives an automatic confirmation that the request was sent and that you'll be in touch
3. Go to the Requests tab
On the dashboard, open the Requests tab (next to Calendar and Finances). All pending requests appear there with the guest's name, period, and property.
4. Confirm or decline
Click on a request to view the details. You have two options:
- Confirm — the booking is created on the calendar, the dates are blocked, and a confirmation message opens in WhatsApp for you to send to the guest
- Decline — the request is closed and a cancellation message opens in WhatsApp for you to send to the guest
The WhatsApp messages use the text you configured in Predefined Messages. If you haven't set those up yet, it's worth personalizing them — see the corresponding guide.
What if I take too long to respond?
The request stays pending on the dashboard until you act. The calendar does not block the dates automatically — only a confirmation does that. This means two guests can request the same period at the same time; whoever you confirm first gets the dates.
