How to use predefined messages
Set up ready-to-send WhatsApp templates for booking confirmations, cancellations, check-in instructions, and other key moments.
HostX lets you save message templates to send via WhatsApp at different points in the booking process. Instead of typing from scratch each time, you select a template and the text is already filled in with the guest's details.
Where to configure
In the side menu, go to Predefined Messages (under Settings).
The six available templates

| Welcome | Sent manually when opening a guest's WhatsApp chat |
| Check-in | Sent manually with check-in instructions |

| Post check-out | Sent manually after the guest has checked out |
Click each template to expand and edit the text.
Available variables
Within the text, you can use variables that HostX automatically replaces with real booking data:
{Guest}— guest's name{Property}— property name{Start date}— check-in date{End date}— check-out date
To insert a variable, click the corresponding button inside the editor — the text is added at the cursor position.
Saving
After editing your templates, click Save at the bottom of the page. Changes apply to all bookings from that point on.
How messages are sent
HostX does not send WhatsApp messages automatically — it opens WhatsApp with the text already filled in for you to review and tap send. This ensures you're in control before any message reaches the guest.
